Coming Out of the Cubicle: How Ince & Co Embraced Collaborative Working

Desire for cooperation pushes law firm out from behind closed doors


At first glance, you might not think Ince & Co's new office in Hong Kong East is home to a law firm. Gone are the cubicles and corner offices, replaced with a kitchen and breakout area, and colorful, quiet corners for casual meetings.

Ince & Co wanted a modern, open plan environment to foster greater communication and cooperation across its teams. 

Our office leasing specialists helped the law firm secure new offices in Quarry Bay, before our project managers stepped in to design, construct and fit-out the new premises in line with the client's new global workplace strategy. 

The entire project was completed within a "demanding" budget and a tight time frame of seven months.

We managed every aspect of the relocation and fit-out, including tendering, construction, engineering, procurement and office design. We also held the contracts with the project's many suppliers and contractors, so our client could focus on the change management aspects of their move.

Technology supports transparency 

Investment in technology and systems was crucial in bringing Ince & Co's new workplace strategy to life. We advised on suitable technology and costs, and managed the installation of their IT system.

JLL's global technology platform also enabled us to share real-time information—such as Health & Safety reports, tender documents and supplier quotes—with the client's multiple stakeholders in Hong Kong and overseas, and with the contractors, designers, engineers, IT vendors and consultants involved. This helped minimize email traffic and eased collaboration and decision-making among all parties.

Thanks to a proprietary database of past project costs, we were able to estimate expenditure, and as the project developed, our Quantity Surveyor assisted in the budgeting of building works, loose furniture, white goods and technology platforms. 

Picturing what was in store

Furniture made up a significant part of the procurement process on this project. We wanted the client to feel the furniture and visualize how different items worked together to give them greater confidence in their final selection, so we took the time to create a physical mock-up of the office.

Like the tender process, this procurement was open book. Using our online procurement tracker, Ince & Co could see our recommendations and how they matched their budget and delivery lead times.


Revelling in the result

Thanks to our team's "good ideas, support, hard work and practical advice," Ince & Co's Managing Partner David Beaves says the firm moved into "one of Hong Kong's most beautiful and functionally well-built law offices."

Construction of the 10,000 sq. ft. office space was completed in less than 10 weeks, faster than the client's international stakeholders had thought possible.
